POSITION SUMMARY

We’re seeking a highly independent, service-minded Portfolio Manager to pioneer a new role focused on managing small multifamily properties (typically 5–15 units) and investor-owned residential portfolios. This person will serve as the trusted advisor and primary point of contact for multiple individual property owners—delivering a concierge-style experience that balances responsiveness, care, and efficiency.
These owners have unique needs: heavier maintenance volumes, limited time for day-to-day approvals, and higher expectations for proactive, strategic service. The ideal candidate thrives in a high-touch environment, excels at building strong relationships, and takes initiative to refine systems and processes for long-term portfolio health. This is a fully remote role, but you must reside in San Diego.

Skills & Qualifications

Responsibilities
  • Independently manage a book of small multifamily properties and investor-owned portfolios (5–15 units per property or 5+ units across portfolios), serving as the main point of contact for each owner.
  • Build trust and loyalty through proactive, high-touch communication (regular check-ins, strategic updates, timely responses to inquiries, sets rental rates, negotiates and enforces lease agreements.).
  • Develop strong client relationships by understanding owner goals and tailoring management strategies accordingly.
  • Oversee rental rate setting, lease negotiations, renewals, and enforcement of lease agreements.
  • Terminates leases and initiates eviction proceedings.
  • Lead resolution of client issues, including late payments, operating expenses, and escalations.
  • Manage and oversee maintenance requests, ensuring timely resolution and monitoring for “stale” tickets.
  • Build trust through proactive, regular communication (monthly/quarterly check-ins), strategic planning, and exceptional responsiveness.
  • Refine and create systems tailored to small multifamily and multi-owner portfolios—including vendor coordination, CapEx planning, and common area upkeep.
  • Collaborate closely with internal teams (leasing, property management, finance, sales) and help build a dedicated support “squad” (e.g., Maintenance Coordinator, PM Assistant).
  • Monitor key metrics (occupancy, maintenance ticket close times, reviews, client satisfaction) and lead improvement initiatives.
  • Help owners plan for property needs (e.g., annual budgets, CapEx forecasting) and navigate regulatory changes with confidence.
  • Stay ahead of regulatory changes and proactively advise clients on compliance.
  • Proactively advise clients by conducting regular physical inspections (personally or via field team members)
  • Create “delight moments” and service enhancements that deepen client loyalty and improve retention.
  • Maintains fiduciary responsibilities for all clients.
  • All other duties as assigned.

Success Metrics

  • Improved client NPS and satisfaction among portfolio owners
  • Occupancy rates maintained at 95%+
  • Decrease in escalations and maintenance delays
  • New, effective SOPs rolled out for small multifamily management to ensure optimal property management
  • Strong client retention and referral growth in this segment
  • Demonstrated ability to operate with high autonomy- proactively solving problems, making decisions, and driving initiatives with minimal oversight
  • Successfully pioneered and shaped a new role within the organization, establishing best practices and setting the foundation for future team expansion
  • Development of scalable “portfolio management playbook”

Job Type: Full-time
Pay: $90,000 - $97,000 per year
