POSITION SUMMARY

Reliance Properties is a real estate and development company with a diverse portfolio of rental buildings in the Lower Mainland.
We are seeking a motivated individual to provide support to the Maintenance Department in day-to-day activities for our building portfolio. The Property Service Administrator provides high quality customer service, and coordinates with internal staff and external vendors to ensure overall service delivery is consistent with company standards. The successful applicant must be organized, have the ability to multi-task, and have excellent communication skills.

MINIMUM QUALIFICATIONS

  • Experience: 1-2 years in office administration (Prior experience in real estate or property management preferred)
  • Ability to communication effectively and professionally, both oral and written
  • Ability to allocate time effectively, manage deadlines, and work under pressure to achieve quality results
  • Critical thinker and problem solver
  • Detail oriented
  • Strong computer skills especially with MS Office
Responsibilities
  • Facilitate commercial tenant move-ins and move-outs (preparing keys and fobs, ordering signage, booking elevators, etc)
  • Program and manage various intercom and fob access systems
  • Coordinate scheduled inspections and servicing (monthly, quarterly, semi-annual, annual)
  • Conduct building inspections / site visits as needed
  • Liaise with tenants regarding maintenance issues and other building-related matters
  • Track and monitor service requests using in-house work order system
  • Follow up on service requests with in-house managers and trades, and external vendors
  • Draft and distribute building notices and tenant memos
  • Maintain tenant information records, including phone numbers, contact names and emergency contacts as changes occur.
  • Assist with managing service agreements (including renewals, cancellations, revisions)
  • Verify services rendered and invoices
  • Organize files and operational manuals, and maintain accurate records for interdepartmental use
  • Provide support to Operation & Facilities Managers as required
  • Provide weekly and monthly reports to Service Coordinator and department manager
  • Reception duties as required and vacation relief for office staff if needed
