Department Overview The Property Specialist, Senior coordinates the purchasing and daily stores operations of a storeroom/warehouse and maintains property records and inventories for the storeroom/warehouse. This is the second of a 2 series. It is distinguished from the lower level by the level of responsibility and accountability for storeroom/warehouse daily operations and inventory control functions. Function/Duties of Position Stores Assigns work to employees or students, such as pulling supplies off shelves to fill stores requests, loading boxes or trucks, and cleaning storage areas. Checks to assure the supply of forms, supplies, equipment, and property is adequate; reorders when supplies become low or assigns the task to another employee to reorder specific items. Determines space requirements for storage of incoming shipmen of supplies and equipment. Writes procedures for storage and shipping of stores. Receives incoming freight and deliveries; counts items against the invoice and checks to see that all items are in good condition. Sells, trades, or barters agency surplus items following OHSU procedures and guidelines and maintains precise records of transactions. Disposes of worn out or non-repairable property and warehouses surplus property following OHSU's procedures and guidelines. Assembles new furniture and equipment and performs minor repairs on existing furniture and equipment. Drives vehicle to pick up and deliver supplies, equipment, furniture, mail. Answers questions from staff regarding stock availability and purchasing procedures. Purchasing Purchases supplies and equipment or authorizes purchases of supplies and equipment up to authorized limit. Obtains authorized signatures on purchases above authorized limit. Updates cost and price information on supplies. Accepts bids from vendors on items, usually by telephone, following OHSU purchasing rules and procedures; meets with vendors regarding procurement (e.g., product lines, availability of items, and price agreements). Talks to vendors about errors in billing. Tracks down missing shipments by contacting vendors and freight and transport companies. Inventory Marks equipment and property with identification labels for inventory tracking. Verifies existence and location of equipment and property by matching inventory identification numbers marked on items against inventory record. Researches location of missing items by telephone contact with responsible staff or by physical search. Maintains inventory listings of all nonexpendable property. Develops record keeping system(s) for stores. Archives OHSU records and shreds and discards records when expiration date is passed. Reviews clerical work to assure accuracy, and that records are filed and processed according to establish procedures and guidelines. Other duties as assigned. Required Qualifications Experience performing stores and inventory work; AND Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods. Knowledge of spoken and written English at the high school graduate level. Conflict resolution skills and the ability to demonstrate effective time management. Driver’s license and driving record that meets OHSU’s driving requirements. Hazmat certification within 3 months of hire through OHSU. Forklift training for Warehouse staff within 3 months of hire through OHSU. Preferred Qualifications High School Diploma or GED. Two years of warehouse experience and two years of customer service experience is preferred. Working knowledge of hospital materials management distribution systems. Medical supply familiarity, knowledge of OHSU systems, and medical terminology is preferred. Understanding how to set min/max’s. Experience using handheld counting devices. Rorklift training preferred. Additional Details The employee might encounter soiled linen during job tasks. Employees may handle the handling, picking, and stocking of hazardous items such as fluids, including Cidex. Hazardous material handling training will be provided to ensure that employees are well-equipped to handle such materials safely. In this role, employees may work in environments exposed to various weather elements, such as rain, hail, snow, heat, humidity, and wind. Additionally, there may be fluctuating noise levels, dust, vibrations, and occasional wet or slippery areas.
