The Property Team at TPE has responsibility for Facilities, Estates and Asset Management and its function is to ensure the safe and efficient running of all our managed locations across the Network. As a small team, we work together closely, and our roles are wide ranging necessitating coordination with other departments, internal and external stakeholders. Within our team, we manage maintenance budgets, tenant leases and services contracts; collaborate with the various stakeholders around the maintenance and repair responsibilities; ensure that long term plans for assets are established; support the Service Quality Regime; liaise with Infrastructure Projects; and act as escalation for all property maintenance needs.
The role:

As our Property Support Coordinator, your duties may include:

  • administering the Site Access Authority Process for contractors
  • supporting the team with financial controls, raising POs and ensuring invoices are paid or queried as required
  • being familiar with each of our stations and the people that work there, working closely together to ensure maintenance and improvement work is carried out in a safe, timely and efficient manner
  • managing communication and helping to build collaborative working between departments in TPE, contractors and other stakeholders
  • coordinating all administration associated with station maintenance work
  • supporting the Asset Management system
  • reviewing periodic data and compiling reports
  • organising diaries and minuting meetings
  • supporting with escalation to ensure the safe running of our managed locations
  • working with the wider Major Projects directorate to ensure all documentation relating to property management and property improvement projects of our train stations is in order.
  • organising and attending site visits, both within the team and with various stakeholders
  • offering general support to the team where required

Who are we looking for someone who:

  • has experience in administration
  • has a natural passion for organisation and an eye for detail
  • has strong communication skills
  • is good with people and can work well in a team environment
  • is comfortable working with spreadsheets, databases, Outlook and SharePoint
  • is professional and comfortable dealing with confidential information

Some experience working in a property department and being familiar with a procurement process will stand you in good stead.
