JOB SUMMARY

We are seeking a detail-oriented and highly organized Proposal Coordinator to join our team in any of our four (4) office locations in Ottawa, Kingston, Toronto, or North Bay. This role is pivotal in developing compelling proposals in response to client requests and government solicitations. The ideal candidate will collaborate with technical and management personnel to ensure timely and high-quality proposal submissions.

Responsibilities/Duties:

  • Coordinate, write, edit, and format proposals in response to RFPs, RFQs, and other solicitations.
  • Work closely with subject matter experts, technical teams, and leadership to gather necessary information.
  • Maintain and update proposal templates, resumes, project descriptions, and company qualifications.
  • Ensure proposals adhere to client requirements, company standards, and industry best practices.
  • Develop and manage proposal timelines, deadlines, and review schedules.
  • Ensure clarity, consistency, and accuracy of all proposal content.
  • Assist in the creation of visual elements, such as organizational charts, infographics, and cover pages.
  • Maintain a repository of past proposals, boilerplate content, and client requirements for future use.

Experience:

  • Bachelor’s degree in Communications, Marketing, Business, Engineering, or a related field.
  • 0-2 years of experience in proposal coordination or technical writing (preferably in the engineering and/or construction sector).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong writing, editing, and organizational skills.
  • Ability to multitask and prioritize deadlines.
  • Familiarity with government and private-sector proposal processes (and bid platforms) will be considered an asset.
