SUMMARY/OBJECTIVE

The Proposal Coordinator will support the development of compelling, compliant, and high-quality proposals for federal, state, and local agencies. This role requires strong organizational and writing skills, attention to detail, and familiarity with federal procurement processes, including RFIs, RFPs, and SF-330s. The ideal candidate is comfortable using CRM tools to manage pursuit data and embraces the appropriate use of AI tools to improve the efficiency and compliance of proposal production.

QUALIFICATIONS

  • Bachelor’s degree or higher in Marketing, Public Relations, English, Communications, or a related field.
  • 5+ years of experience in a proposal coordination or marketing support role, preferably in the AEC industry.
  • Working knowledge of federal procurement formats and processes (RFPs, RFIs, SF-330s, etc.).
  • Experience using CRM platforms to manage contacts, pursuits, and content libraries.
  • Proficient in Microsoft Office Suite and Adobe Creative Suite; familiarity with AI-assisted writing or formatting tools is a plus.
  • Strong attention to detail, organization, and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work collaboratively in a fast-paced, deadline-driven environment.

PREFERRED QUALIFICATIONS

  • Experience with design-build or environmental consulting proposals.
  • Familiarity with proposal compliance tools and automated formatting/checking software.
  • Demonstrated interest in continuous learning and innovation in marketing and business development.
Responsibilities

KEY RESPONSIBILITIES:

  • Coordinate and produce proposals, qualifications packages, and responses to RFIs and RFPs, including SF-330s, in collaboration with technical teams and leadership.
  • Ensure all proposal content is compliant with solicitation requirements and brand standards.
  • Use CRM (e.g., Deltek, HubSpot, or similar) to track pursuits, maintain marketing collateral, and generate reports.
  • Leverage AI tools responsibly to enhance content development, streamline formatting, and support compliance verification.
  • Maintain proposal schedules, checklists, and deadlines with a high level of accuracy and accountability.
  • Write, edit, and proofread proposal narratives and resumes with clarity and consistency.
  • Coordinate with teaming partners and subcontractors for proposal input when necessary.
  • Contribute to the development and maintenance of standard content, templates, and libraries.
