As the Proposal & Marketing Specialist, you will sit in a cross-functional role that bridges proposal development and marketing to drive business growth. You will manage the end-to-end RFP process, ensuring alignment with brand messaging, client needs, and business objectives as well as lead the coordination of high-impact marketing events alongside the VP of Marketing. Particularly, you will:
Own Proposal & RFP Management
- Lead the full lifecycle of RFP responses, including requirements analysis, timeline management, and cross-functional collaboration.
- Partner with Sales and Product SMEs to craft compelling, tailored proposals that align with client needs and business goals.
- Facilitate kick-off meetings, status updates, and review sessions to ensure timely and high-quality submissions.
- Maintain and optimize proposal content using Response Management Software (we use Loopio) and ensure consistency in tone, messaging, and accuracy.
- Analyze proposal outcomes, conduct debriefs and implement improvements to enhance win rates and efficiency.
- Report on RFP activity, metrics, and performance insights to senior leadership.
Deliver Marketing Coordination & Cross-Functional Support
- Develop and execute the strategy for in-person and virtual events, including conferences, webinars, and client engagements.
- Collaborate with internal teams to develop event content, promotional materials, and post-event follow-ups.
- Support the development of marketing collateral and ensure consistency across proposals, events, and campaigns.
- Track event ROI, lead generation, and engagement metrics to inform future event strategies.
- Maintain a dynamic event calendar and ensure alignment with broader marketing campaigns
Our ideal candidate has:
- Exceptional project management and organizational skills with the ability to juggle multiple priorities.
- Strong written and verbal communication skills; adept at persuasive writing and cross-team collaboration.
- Proven experience managing RFPs and/or complex proposal processes.
- Detail-oriented with a proactive mindset and a strong sense of ownership.
- Comfortability working in a fast-paced, matrixed environment with shifting priorities.
- Familiarity with marketing automation tools, CRM systems, AI, and proposal software (i.e. Loopio) is a plus.
