PROPOSAL SPECIALIST (ENTRY-LEVEL/REMOTE-USA)

Are you detail-oriented, curious, and ready to begin a meaningful career? We’re looking for someone early in their professional journey who is eager to learn and contribute to a collaborative team that plays a key role in developing proposals for clinical research and pharmaceutical services.
This position is well suited for a recent graduate or someone with a bit of relevant experience who is interested in gaining practical exposure to the proposal process, project coordination, and the clinical research industry. You don’t need to come in as an expert — we’ll provide training, mentorship, and the support you need to build your skills.

WHAT WE’RE LOOKING FOR:

We’re looking for someone who is eager to learn and excited to be part of a collaborative, detail-focused team. Specifically, we’re seeking someone who has:

  • A bachelor’s degree (ideally in business, life sciences, or a related field) — this is a requirement for the role
  • Familiarity with Microsoft Office tools, especially Word and Excel
  • A high level of attention to detail and accuracy
  • Strong written and verbal communication skills
  • A genuine curiosity about how our business works and a willingness to ask questions
  • A positive, team-oriented approach and the ability to work cooperatively with others
  • A focus on openness, honesty, and follow-through in day-to-day interactions
  • An interest in proposal development and a desire to understand how we scope and communicate our services
  • Comfort managing several small tasks or projects at once and staying organized

Some prior exposure to the clinical research or pharmaceutical industry is helpful but not required. We value potential and attitude just as much as experience.

Summary
Under the supervision of the Director or Manager, this position performs confidential administrative duties and provides support to the Global Proposal & RFI team

Responsibilities

WHAT YOU’LL DO:

As a Proposal Specialist, you’ll support our Global Proposal Management team by helping organize information, maintain internal systems, and keep things running smoothly behind the scenes. You’ll also have the opportunity to learn how we review and respond to Requests for Proposals (RFPs) and Requests for Information (RFIs) from clients.

Your responsibilities may include:

  • Assisting team members with questions about proposal processes and tools
  • Reviewing new RFPs and routing them to the appropriate proposal team, with guidance from your manager or senior colleagues
  • Sending out internal notifications about new assignments
  • Creating digital project folders (SharePoint sites) and uploading essential documents
  • Entering and updating information in our CRM system (Salesforce) and internal workload reports
  • Supporting the RFI team by compiling and formatting experience reports from internal databases
  • Uploading team reports to SharePoint and helping track daily activity summaries
  • Contributing to database maintenance and data cleanup projects
  • Running basic data queries and reports, as requested

As you grow in the role, you’ll gain insight into how we scope and budget our services, interact with different departments, and communicate with clients through well-developed proposals.
