GENERAL DESCRIPTION This position is a part of the Operations Team. In collaboration with Operations Management and Provider Management, this position is responsible for the real-time monitoring of the provider’s shifts. This position will create efficiencies in tracking provider’s in-clinic time, paid out of clinic time, and requests for time off. The role requires strong communication skills, sound judgment, and the ability to respond quickly to changing staffing needs. Requirements ESSENTIAL DUTIES Maintain accurate and up-to-date provider schedules, including adjustments for PTO, STIP, CE, call coverage, administrative time, and other approved absences, ensuring time is correctly allocated by location and department. Tracks, monitors, and trends provider attendance data, including call-ins, tardiness, early departures, unscheduled absences, and high-volume time-off periods. Develops and maintains efficient processes to ensure timely notification to management regarding attendance occurrences and staffing concerns. Collaborates with provider leadership and Human Resources to create and maintain accurate provider skillsets within the timekeeping and scheduling systems to support appropriate regional staffing coverage. Respond professionally and calmly to urgent staffing issues in a fast-paced environment. May assist operations with provider call ins, tardiness, early departures, and unscheduled absences. May assist with rescheduling patients due to coverage gaps. May assist with processing and arranging provider’s continuing education requests. Employees are expected to perform all other duties as assigned. QUALIFICATIONS High school diploma or equivalent. Previous experience managing staffing schedules, preferably in a healthcare setting. Healthcare experience strongly preferred. KNOWLEDGE, SKILLS AND ABILITIES Social and cultural sensitivity appropriate to ethnically and economically diverse patient-and employee-base Communicates through appropriate channels. Use proper chain of command for patient complaints. Ability to handle emergency situations calmly and effectively. Must be computer literate and proficient with software specific to the Pharmacy. Must be able to maintain good inter-personal relationship with co-workers and other members of the health care team and the organization. Must be detail oriented, organized, and adaptable. Must be able to work calmly and efficiently under high pressure situations. Be courteous and respectful when interacting with patients and family members. Maintain employee and patient confidentiality in accordance to organization’s policy and procedure and HIPAA requirements. Accurate data entry WORKING CONDITIONS While performing the duties of this Job, the employee is regularly required to sit, up to entire shift; use hands and fingers to operate computer/register keyboard, handle, or feel; reach with hands and arms and talk or hear. The employee may occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus. Computer work is frequent. Good lighting and comfortable temperature of ventilation at all times. Flexibility with schedule to accommodate early mornings, evenings, or unexpected staffing needs.
