Position Overview The Public Engagement Coordinator is a critical operational role within PE/CE, focused on driving the success of school-facing programs and ensuring seamless collaboration across internal teams and external partners. This role owns the end-to-end management of the School Engagement Program (SEP) and School-Based Training Programs. The responsibilities include contract management, stakeholder coordination, and administrative support. The coordinator acts as a bridge between the department, partner schools, and internal teams, while supporting the PE/CE Director and Program Leads to deliver high-quality educational experiences. Additionally, the coordinator supports departmental initiatives and ad hoc tasks as required. Department: Public and Continuing Education (PE/CE) Reports To: Director of Public and Continuing Education (Direct Report) Work Schedule: Monday-Friday (core hours); occasional weekends (for program support) and travel (as business needs arise) Key Responsibilities Program Management On-Campus SEP Oversight of on-campus SEP, ensuring the program delivery aligns with PE/CE’s quality standards. Collaborate with internal departments to finalize and confirm program dates, lesson schedules, and resource allocation. Manage the booking and utilization of the facilities for on-campus SEP activities, resolving logistical conflicts proactively. Lead end-to-end contract management for off-campus SEP (review, execution, and tracking), ensuring compliance with organizational policies. Off-Campus SEP Serve as the primary liaison with external partner schools for off-campus SEP, maintaining regular communication to address needs and feedback. Coordinate with SEP teachers and performers to confirm details (lesson plans, materials, travel arrangements) and resolve on-site issues. School-based Training Programs Manage school-based training programs, including schedule alignment with school administrators and teaching teams. Liaise with the Government Affairs team to ensure school-based training programs have compliance with local education policies and regulatory requirements. Monitor program progress and collect feedback from schools/teachers to identify optimization opportunities. Cross-Functional Collaboration Partner closely with PC Admissions and PE Admissions teams to align engagement activities with enrollment objectives. Attend cross-departmental meetings to share program updates and coordinate support for joint initiatives. Collaborate with PE/CE Program Leads to integrate program needs into departmental plans and budgets. Administrative & Operational Support Act as liaison to Human Resources (HR), including managing payroll processing for program-related staff (e.g., part-time teachers) to ensure timely and accurate payments, and oversee onboarding process of new part-time teachers. Support the PE/CE Director with ad hoc tasks (reporting, meeting coordination, event logistics, budgeting, meeting minutes) as assigned. Maintain organized records of contracts, program schedules, and stakeholder communications for easy retrieval. Requirements Experience 2+ years of professional experience in music/arts training programs, educational program management, or related fields. Demonstrated project management experience (e.g., overseeing program timelines, coordinating cross-stakeholder initiatives). Familiarity with contract management or administrative coordination in an educational or cultural institution is a plus. Skills Fluent in both English and Mandarin (written and verbal), with the ability to communicate effectively with bilingual stakeholders. Strong organizational and analytical skills, with a track record of managing multiple tasks in a fast-paced environment. Proficiency in administrative tools (e.g., Excel, PPT) and ability to maintain detailed records.
