Description:
JOB OVERVIEW:
We are seeking a detail-oriented and proactive Purchase Assistant to support our purchasing department in managing the procurement of goods and services for the company. The ideal candidate will have strong organizational and communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. The Purchase Assistant will work closely with suppliers, vendors, and internal teams to ensure timely delivery of high-quality materials at competitive prices.
QUALIFICATIONS:
- High school diploma or equivalent (Bachelor’s degree in Business Administration, Supply Chain Management, or related field is a plus).
- Proven experience in a similar role in purchasing or procurement is desirable.
- Strong organizational and time-management skills.
- Proficiency in MS Office Suite (Excel, Word, Outlook) and familiarity with procurement software or systems.
- Good communication skills, both written and verbal.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
- Attention to detail and problem-solving ability.
- Basic knowledge of supply chain and inventory management practices.

Responsibilities:
- Assist with Procurement Operations:
- Support the purchasing team in the selection, ordering, and tracking of materials, supplies, and equipment.
- Prepare purchase orders (POs) and ensure proper documentation for all procurement transactions.
- Vendor and Supplier Coordination:
- Communicate with suppliers and vendors to obtain quotes, check availability, and place orders.
- Follow up on pending orders, deliveries, and invoice discrepancies.
- Maintain positive relationships with suppliers to negotiate better prices and terms.
- Inventory Management:
- Assist in monitoring inventory levels and reorder supplies when necessary.
- Ensure accurate record-keeping of purchases and inventory items.
- Data Entry and Documentation:
- Record and maintain accurate procurement records in purchasing systems and databases.
- Ensure all purchase orders, receipts, and invoices are filed and tracked in a timely manner.
- Order Tracking and Reporting:
- Track the status of orders and shipments and provide updates to internal stakeholders.
- Prepare regular reports on purchase orders, inventory levels, and spending.
- Compliance and Quality Control:
- Assist in ensuring all purchases comply with company policies and budget guidelines.
- Review and verify product specifications, quality, and pricing.
- General Administrative Support:
- Assist the purchasing manager with administrative tasks related to procurement and purchase processing.
- Handle incoming calls, emails, and other inquiries related to purchases.
