POSITION SUMMARY:

West Coast Kids is seeking a detail-oriented and organized Purchasing Assistant to provide administrative support to our purchasing department. As a Purchasing Assistant, you will play a crucial role in ensuring smooth operations by managing various tasks such as email communication, data entry, order management, and supplier coordination. Your attention to detail and ability to multitask will be essential for success in this role.

QUALIFICATIONS:

  • Proven experience in administrative support or purchasing-related roles.
  • Strong organizational skills with excellent attention to detail.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Ability to handle multiple tasks simultaneously and prioritize work effectively.
  • Strong communication skills, both written and verbal.
  • Familiarity with purchase order processes and supplier coordination.
  • Ability to work independently and collaborate effectively within a team.
  • Knowledge of inventory management systems is a plus.

Responsibilities:

  • Manage email communication related to purchasing activities, including responding to inquiries, handling order requests, and resolving issues.
  • Manage store ordering requests and maintain an organized record of all orders.
  • Review daily sales reports and assist in the planning process for orders
  • Perform data entry tasks accurately and efficiently.
  • Reconcile order confirmations and follow up with suppliers for any unconfirmed orders.
  • Update product data sheets (PDS) to reflect changes in restock and communicate updates to relevant teams.
  • Keep track of upcoming sales and communicate relevant information to the Marketing, Support, and Systems teams.
  • Supplier follow up on pending orders
  • Communicate new entry items, discontinued items, and price changes to the Systems team
