Description

The Purchasing Assistant is responsible for procuring materials and supplies essential to IMMY’s daily operations. Success in this role relies on effective communication with suppliers and proactive coordination of shipments. This individual is expected to uphold LEAN principles and actively contribute to a culture focused on quality, efficiency, and continuous improvement.

THE INDIVIDUAL

Required qualifications:

  • Effective communication skills to collaborate with various departments
  • Experience with Microsoft Outlook, Word and Excel
  • Driven to identify and reduce waste in daily purchasing operations
  • Must be highly detail-oriented with a focus on continuous improvement and operational efficiency
  • Ability to speak, read and write clear, concise English
  • Ability to accurately read and understand written materials and instructions
  • Passionate about making a positive impact and consistently looking for ways to add value to the team and organization
  • Demonstrated ability to collaborate across departments and communicate effectively with peers, suppliers, and leadership.
  • Able to balance confidence with humility, showing respect for diverse perspectives and acknowledging the contributions of others
  • Open to feedback and committed to continuous learning and improvement

Desired qualifications:

  • Associate’s degree
  • Knowledge and understanding of purchasing methods
  • Knowledge of Infor or another ERP system
  • Prior purchasing experience

Responsibilities

Purchasing Process

  • Ensure all purchases are made in compliance with the company’s purchasing policy
  • Acquiring materials, equipment, services, and supplies for all departments at IMMY
  • Initiate and process orders based on operational needs
  • Assist in managing reorder points and restocking
  • Track status of orders ensuring that materials are shipped and delivered on promised dates
  • Communicate with suppliers to obtain quotes, follow up on orders, confirm lead times, and resolve delivery or quality issues
  • Work with accounts payable to ensure payment of supplier invoices and help resolve any invoice discrepancies
  • Maintain records of purchases, approvals, shipments, and related matters
  • Contribute to continuous improvement initiatives by identifying inefficiencies in purchasing processes and proposing solutions.

Supplier Management

  • Select suppliers and verify they are approved in accordance with the supplier assessment SOP
  • Assist with management of relationships with key suppliers to maintain quality of goods, timely delivery and compliance with terms of contracts and agreements
  • Conduct basic market research to identify new suppliers or better pricing/terms

Supply Chain Support

  • Support shipping and receiving functions as required
  • Attend weekly planning meetings
  • Any other duties as assigned
