POSITION SUMMARY

A Purchasing Assistant reports to the Purchasing Manager and supports the purchasing department by managing administrative tasks, maintaining records, and assisting with the procurement process. They are responsible for tasks such as creating purchase orders, tracking orders, managing inventory, and communicating with vendors. They also play a role in researching new suppliers and products, negotiating with vendors, and ensuring timely delivery of goods.

REQUIREMENTS

  • Experience in a purchasing or procurement role (preferred).
  • High School Diploma, GED or equivalent.
Responsibilities
  • Purchase Order Processing: Creating, processing, and tracking purchase orders, ensuring accuracy and completeness.
  • Vendor Management: Building and maintaining relationships with vendors, Implementing and maintaining Non-Disclosure Agreements, Ensuring certifications (such as AS9100, ISO 9001, NADCAP) are up to date, negotiating pricing and terms, and resolving any issues that arise.
  • Inventory Management: Monitoring inventory levels, tracking shipments, and placing orders to replenish stock as needed.
  • Record Keeping: Maintaining accurate records of purchases, invoices, and other relevant documents.
  • Administrative Support: Providing general administrative support to the purchasing department, including data entry, filing, and report generation.
  • Research and Analysis: Conducting market research to identify potential suppliers and products that meet the company’s needs.
  • Communication: Communicating with other departments to understand their purchasing needs and ensure the timely delivery of goods.
  • Compliance: Ensuring compliance with company policies and procedures related to purchasing.
  • Problem Solving: Identifying and resolving issues related to purchase orders, deliveries, or vendor performance.
  • Other duties as assigned.
