Description (Part-Time) Purchasing Coordinator BRIARCLIFF MANOR, NY Description AMIC Clearview School is looking for a Purchasing Coordinator who will work closely with the Accounts Payable Coordinator in managing the day-to-day vendor management activities for all departments, including but not limited to, coordinating purchasing activities with all departments, processing daily requisitions and purchase orders, receipts of orders, rectifying discrepancies related to purchases and managing other special projects, as assigned by the Chief Financial Officer. • Obtain necessary approvals from authorized representatives before processing purchase orders. • Ensure accurate and timely processing of requisitions and purchase orders. • Provide a weekly report of all purchases to Accounts Payable. • Record all pertinent credit memos associated with specific purchases • Create and generate P.O’s as requested • Evaluate vendor quotes for compliance with desired job requirements and specifications. • Engage in negotiations with vendors to secure optimal prices; present quotes and proposals to the Chief Financial Officer using the vendor price change form. • Monitor and manage inventory levels, placing supply orders when required. • Organize and maintain files, including purchase order records and other relevant documentation. • Generate reports detailing inventory levels and purchasing activities to support managerial decision-making. • Contribute to year-end audits as required. • Work cooperatively and professionally with staff, volunteers, vendors, and community representatives • Consistently meet deadlines, be meticulous, reliable, trustworthy, and maintain high confidentiality. • Excellent interpersonal and communication skills; demonstrates a demeanor of composure and professionalism even in challenging situations. Educational Requirements: • GED or Associate degree in a related field; minimum 2 years of purchasing experience. Requirements Required Skills: • Must be proficient in Microsoft Word and Excel (Intermediate to advanced)• Familiar with computer database systems (Intermediate to advanced)• Must be able to and willing to learn other accounting software systems such as Fund ez.• Excellent organizational skills, attention to detail, and working knowledge of record- keeping.• For prolonged periods sitting at a desk and working on a computer.• Must be able to lift to fifteen pounds repeatedly.Part-time 20 hours a week Rate of pay: $26 to $33hr
