Responsibilities

ABOUT THE ROLE

The Purchasing Coordinator is responsible for ensuring the efficient and timely processing of purchase orders, tracking orders from placement to delivery, and maintaining high levels of communication with internal teams and suppliers. The role requires strong organisational skills, attention to detail, and the ability to work collaboratively to support procurement operations.

WHAT WILL YOU DO

  • Ensure all purchase orders are raised in line with ordering timescales and forecasts.
  • Track and monitor purchase orders from placement through to delivery.
  • Highlight and resolve any delays, ensuring supplier lead times and shutdowns are understood for accurate forecasting.
  • Coordinate and report on all purchase order activities, including planned deliveries, cancellations, overdue orders, and rescheduling.
  • Maintain regular communication with suppliers and Goods In team regarding deliveries.
  • Ensure suppliers follow correct booking processes and provide accurate paperwork.
  • Work with finance to track invoices and receipts, resolving any discrepancies.
  • Assist in reporting purchasing KPIs on a daily, weekly, and monthly basis.
  • Support the Stock Quality Controller in addressing vendor performance and poor product quality issues.
  • Oversee special order management and resolve PPT issues promptly.
  • Support the Purchasing Manager in reviewing supplier terms, performance, and pricing.
  • Obtain competitive shipping quotes and monitor delivery schedules for cost-effective solutions.
  • Liaise closely with the Research and Development (R&D) team to support new product launches.
  • Communicate with customer-facing teams to ensure updates on deliveries and stock availability.
  • Maintain accurate records within purchasing systems, updating information on deliveries, suppliers, and purchase orders.
