SUMMARY OF POSITION:
This position works closely with the Senior Purchasing and Logistics Coordinator to ensure an effective and efficient flow of information to external and internal customers. This position is the point person for confirmation of new sales to customers and internal sales team to maximize mutually beneficial long term business relationships.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
· Request and reviews quotations from overseas factories.
· Assist in procuring products at competitive prices, in the correct quantities required by our customers.
· Updates customer order list with factory PO number and shipping details.
· Tracks containers after shipping, coordinate with freight forwarders – notify sales team of any delays/concerns.
· Enter sales confirmations in accounting system (QuickBooks/D365), send to customers and resolves discrepancies. Ensure accurate customer order fullfillment.
· Update & maintain the master customer order list and product code setup
· Send sales report to management & sales team on a weekly basis.
· Create & send current open order lists to top customers on weekly basis
· Assist with the receiving and shipping of samples.
· Communicate with customers regarding clarification on samples and requirements.
· Follow up with customers on sampling process and approvals.
QUALIFICATIONS: To perform this job successfully, the employee must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION AND/OR EXPERIENCE
· High school degree required. College Degree preferred.
· Two (2) years experience in supply chain/purchasing.
· Proficient with MS Office applications required with strong Excel skills.
· Strong analytical and organization skills with an emphasis on detail and thoroughness.
· Excellent communication and interpersonal skills are essential.
· Self-motivation, desire for continuous learning, and a high orientation for achievement are necessary.
· Ability to adapt to change.
LANGUAGE SKILLS
· Ability to read, analyze, and interpret complex business reports and information.
· Ability to write reports and business correspondence.
· Ability to effectively present information and respond to questions from management and other employees of the organization.
MATHEMATICAL SKILLS
· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
· Ability to compute rate, ration, and percent and to draw and interpret bar graphs.
