POSITION SUMMARY:

The Export Documentation Coordinator is responsible for overseeing customer order entry, expediting, prioritizing, and ensuring timely export documentation and shipment of goods to international markets. This position is critical in maintaining export compliance while supporting customer satisfaction through efficient order fulfillment.

REQUIRED SKILLS & QUALIFICATIONS:

  • High School diploma or GED (Bachelor’s preferred)
  • 1+ years in customer service, order management, fulfillment, exports, or shipping
  • Strong attention to detail and organizational skills
  • Knowledge of U.S. and international export compliance regulations
  • Proficient in Microsoft Office (Word, Excel, OneNote)
  • Effective communication and customer service skills
  • Ability to work under deadlines and manage multiple tasks
  • Foreign language skills a plus

PHYSICAL REQUIREMENTS:

  • Sit for long periods (up to 4 hours)
  • Stand for 2–3 hours
  • Regular use of keyboard, phone, and office equipment
  • Lift boxes up to 40 lbs occasionally
  • Perform reaching, bending, kneeling, and twisting motions as needed

Responsibilities
  • Serve as subject matter expert on customer order management and fulfillment
  • Allocate products and build shipments in system
  • Generate pick lists and shipping instructions
  • Prepare and compile export documentation (Word, Excel, email)
  • Track shipments from AVOA to destination
  • Maintain current export documentation processes and revisions
  • Handle special shipments (e.g., Dot Com, Rally events, air shipments)
  • Identify and communicate potential export compliance risks
  • Participate in continuous improvement of export processes
  • Update and manage changes in SOPs, documentation templates, and databases
  • Maintain and organize export documentation by country and year
  • Attend meetings and respond to requests and deadlines
  • Comply with company policies and maintain a professional demeanor
