QUALIFICATIONS:

  • High school graduate with courses in business and/or office procedures. Associate Degree preferred.
  • Proficient in word processing, use of office machines, computer operations to include use of internet, email, calendars, spreadsheet.
  • Experience with student information systems preferred.
  • Ability to interact with staff, students, parents and the public in a professional and courteous manner.
  • Prior experience as an administrative assistant preferred.
    REPORTS TO: Principal or administrator who is immediate supervisor.

PHYSICAL REQUIREMENTS:

Typical office conditions: sitting, bending, stooping, filing, occasional lifting of up to 25 pounds of office supplies/files. Close vision at or correctable to normal range.

Responsibilities
  • Effectively manage/coordinate simultaneous projects and successfully prioritize multiple tasks in a detail-oriented and thorough manner. Works with minimal supervision.
  • Communicate effectively and confidentially via phone and email.
  • Perform duties in a professional, courteous and accurate manner.
  • Assist supervisor with organization of various events, publications and projects e.g. file sharing and presentation software.
  • Maintain well-organized, accurate records and files.
  • Support maintenance of student data systems and student/staff records (e.g. student information systems, web-based registration, staff attendance, staff employment forms/reports) when applicable.
  • Maintain confidentiality of all student and staff information.
  • Manage supervisor’s correspondence, appointments and calendar where applicable.
  • Greet and assist public and substitute staff.
  • May be required to prepare payroll records and accounts receivable/payable in accordance with the collective bargaining agreement.
  • Implement school district policies, guidelines, rules and regulations pertinent to the position as directed.
  • Attend and apply professional development to practice.
  • Assist with tracking and maintaining school budget reports.
  • Maintain and order school supplies when applicable.
  • Manage the work of administrative assistants when applicable.
  • Other duties as assigned by immediate supervisor in accordance with collective bargaining agreement.
