JOB SUMMARY:

The R&D Executive Assistant provides high-level administrative and operational support to the R&D Director, ensuring efficient coordination of research projects, strategic initiatives, and daily administrative tasks. This role requires excellent organizational skills, confidentiality, and the ability to multitask in a dynamic, fast-paced environment.

QUALIFICATIONS & SKILLS REQUIRED:

✔ Education: Bachelor’s degree in Business Administration, Science, Engineering, or related fields. Experience in R&D, pharma, biotech, or animal healthcare is an advantage.
✔ Experience: Minimum 1-3 years of experience as an Executive Assistant, Project Coordinator, or similar role, preferably in R&D or technical industries.
✔ Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint), project management tools, and research documentation.
✔ Soft Skills: Strong organizational, communication, and problem-solving skills.
✔ Confidentiality: Ability to handle sensitive research and business information with discretion.
✔ Multitasking: Ability to manage multiple priorities in a fast-paced environment
✔ Attention to Detail: Strong analytical and documentation skills for research data and reporting.
Job Types: Full-time, Permanent
Pay: Php20,500.00 - Php22,500.00 per month

Responsibilities
  • Manage the R&D Director’s calendar, appointments, and meetings.
  • Prepare and organize agendas, reports, and presentations for R&D meetings.
  • Handle confidential documents and maintain accurate records.
  • Coordinate travel arrangements (flights, accommodations, and itineraries) for business trips.
  • Assist in drafting and reviewing correspondence, emails, and communications.
  • Ensure timely follow-ups on action items and deliverables.
  • Assist in tracking R&D projects, timelines, and deliverables.
  • Collaborate with R&D teams to ensure smooth communication and execution of research activities.
  • Help prepare technical reports, white papers, and presentations for internal and external stakeholders.
  • Maintain and update R&D databases, project files, and documentation.
  • Liaise between R&D, Quality Control, Regulatory Affairs, and other departments to support research projects.
  • Assist in coordinating meetings with external partners, suppliers, and regulatory agencies.
  • Support in compiling data and information required for regulatory filings and approvals.
  • Assist in budget tracking and expense reporting for R&D activities.
  • Process purchase requests, invoices, and reimbursements related to research projects.
  • Coordinate with the finance team for budget planning and cost analysis.
  • Maintain an organized filing system for research reports, technical data, and legal documents.
  • Ensure compliance with company policies and industry regulations.
  • Manage procurement of office supplies, lab materials, and equipment as required.
