Job DetailsJob Location: Boca Raton, FL 33496Summary: Supervises and coordinates all daily operations of the Resort and Racquets Shoppe. Supervises, maintains and controls all purchases and supplies with monthly inventories and records. Purchases, manages and maintains an extensive array of tennis, fitness, leisure apparel and hard goods inventory while keeping within budget. Sets the standard for exceptional member service. Essential Duties and Responsibilities include the following; · Maintains a written buying plan according to established yearly sales plan. · Meets with sales representatives and writes all orders related to soft and hard goods purchases. · Promotes and provides exceptional customer service by maintaining a cooperative, team-like attitude in working with management and fellow employees. · Manages the Resort and Racquets Shoppe staff to include, hiring, firing, disciplining, counseling, training and directing work. · Implements all emergency procedures including hurricane, fire, medical issues and inclement weather. · Manages and oversees the Resort and Racquets Shoppe, including scheduling and training, to ensure that the environment is neat, clean and that staff is member friendly and efficient at all times. · Manage the Resort and Racquets Shoppe staff and resolve member and employee situations when they arise. · Conducts weekly staff meetings. · Ensures that the merchandise in the Resort and Racquets Shoppe is current, fashionable, appealing and displayed attractively. · Designs and sets up visual displays and usage on floor. · Oversees special orders for members and follows up on orders. · Coordinates and implements all special promotions and all sales related functions. · Maintains budget controls and monitors payroll to stay within budget guidelines. · Analyzes and maintains monthly inventory and promotes sales. · Oversee physical inventories, verify count accuracy and reset counts. · Ensures that the retail front desk is organized and efficient. Responsible for all updated clipboards, dockets, court sheets, Polo logo bags, ball machine remotes, matchmaking and special order forms and any additional information as required. · Oversee daily member charges and end of day account balances with IBS system. · Maintains tennis/pickleball time schedules through the utilization of the Chelsea T-time system and ensures that the members are informed and trained on imputing play schedules for the season and names are transferred properly to daily court sheets. · Enforces all policies and procedures set forth in the member handbook. Educates retail staff regarding policies and procedures so members concerns are addressed consistently and fairly. · Promotes member events and keeps staff and members informed by providing signage, sign-up sheets, verbal communication through the front retail desk staff and bulletin boards. · Re-orders merchandise as needed, maintains monthly inventory and is responsible for receiving new merchandise. Meets with sales representatives. · Reviews time records for approval. · Processes Resort and Racquets Shoppe month-end reports for the Director of Tennis and Pickleball. · Generates merchandise purchase orders for approval by the Director of Tennis and Pickleball. · Processes all invoices to the appropriate general ledger account and submits them to accounting on a timely basis. · Tracks sales and cost of sales on a daily basis. · Maintains updated vendor files. · Communicates with members, co-workers, management and the general public in a courteous and professional manner. · Conforms with and abides by all regulations, policies, work procedures and instructions. · Exhibits and maintains a professional demeanor to reflect a positive image of The Polo Club. · Performs other duties as assigned by the Director of Tennis and Pickleball. Knowledge, Skills and Abilities: · Requires excellent customer relations skills. · Requires excellent problem solving skills. · Requires knowledge of the game of tennis and pickleball. · Experience in merchandising and purchasing. · Ability to verbally communicate well in English and in writing. · Ability to understand and carry out verbal and written instructions in English. · Ability to interact professionally and maintain effective working relationships with superiors, co-workers and members. · Must be able to multi-task and work in a fast paced environment. Supervisory Responsibilities: Directly supervises line employees in the Resort and Racquets Shoppe. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Computer Skills: To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Payroll systems; Internet software, Order processing systems and Point-of-Sale (POS) systems. Certificates, Licenses, Registrations: AED and CPR certified.
