Description

We are looking for a proactive, detail-oriented Real Estate Administrative Assistant to join our fast-paced and growing team in Dubai. This is an excellent opportunity for a candidate with strong organizational skills and previous experience in real estate administration who is eager to grow within the industry.

REQUIREMENTS:

  • Minimum 2 years of experience in a real estate administrative role (Dubai market experience preferred)
  • Solid knowledge of AML/CFT regulations and experience in a compliance-related role
  • Familiarity with RERA, Trakheesi, VAT filing, and WPS payroll processing
  • Experience in property management, commission tracking, and tax invoicing
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM systems
  • Excellent written and spoken English communication skills
  • High attention to detail with a proactive and solution-oriented mindset
  • Flexible availability, including weekends and the ability to manage urgent requests
Responsibilities
  • Provide comprehensive administrative support, including managing phone calls, emails, calendars, and appointment scheduling
  • Prepare, review, and manage real estate documentation such as contracts, agreements, and listings on platforms like Property Finder, Dubizzle, and Bayut
  • Apply for and manage Trakheesi permits and ensure compliance with RERA regulations
  • Draft and prepare tenancy contracts and required forms including Form A, B, I, and F
  • Generate and track tax invoices for commissions; follow up on outstanding payments
  • Assist in WPS payroll processing for agents and staff
  • Accurately prepare and submit VAT returns to the Federal Tax Authority (FTA)
  • Maintain and update listings on MLS and other property marketing platforms
  • Coordinate timelines for transactions and ensure deadlines are met
  • Track commissions and ensure timely disbursements
  • Maintain well-organized digital and physical filing systems for compliance and documentation
  • Communicate professionally with clients, agents, and external vendors
  • Keep Excel and Google Sheets up-to-date with relevant data
  • Make outbound cold calls to landlords, tenants, and investors to generate leads (training provided)
