Description:
POSITION SUMMARY:
As a Real Estate Administrator your key role is supporting the operational and administrative needs of our company. You will ensures the smooth functioning of daily tasks, including document management, client communication, and coordination among agents, clients, and other stakeholders. The role often involves multitasking, attention to detail, and knowledge of real estate procedures and regulations.
REQUIRED SKILLS AND QUALIFICATIONS:
- Education: High school diploma required; a degree in business administration, real estate, or a related field is preferred.
- Experience: Proven experience in an administrative role, preferably in real estate.
- Technical Skills: Proficiency in real estate software (e.g., MLS platforms, CRM tools) and Microsoft Office Suite.
- Communication: Strong verbal and written communication skills.
- Organization: Excellent multitasking and time management skills to handle multiple deadlines.
- Detail-Oriented: Accuracy in processing contracts, financial data, and listings.
- Customer Service: Ability to provide a positive experience for clients and stakeholders.
- Knowledge: Familiarity with real estate regulations and procedures.
Responsibilities:
- Administrative Support:
- Manage and maintain records, files, and documents related to property listings, transactions, and contracts.
- Prepare and process real estate documents, such as purchase agreements, lease agreements, and disclosure forms.
- Ensure all documentation complies with local real estate regulations.
- Client Communication:
- Serve as the first point of contact for clients, answering inquiries, and providing information about listings and services.
- Schedule property viewings, open houses, and meetings with agents or clients.
- Follow up with clients regarding their needs, contracts, and pending approvals.
- Coordination and Scheduling:
- Organize and maintain schedules for real estate agents, brokers, and office staff.
- Coordinate property inspections, appraisals, and closing dates.
- Ensure timely follow-ups on pending tasks related to property transactions.
- Marketing and Listings Management:
- Update and maintain property listings on various platforms, including websites, MLS systems, and social media.
- Create and distribute marketing materials such as brochures, flyers, and online advertisements.
- Monitor the effectiveness of marketing campaigns and suggest improvements.
- Financial and Transaction Management:
- Handle invoices, payments, and financial records related to property sales or leases.
- Track and report on budgets, expenses, and commissions for agents.
- Assist with escrow management and closing processes.
- Office Operations:
- Ensure office supplies and equipment are maintained and operational.
- Oversee compliance with company policies and real estate laws.
- Train new staff on administrative procedures and software tools.
