REQUIREMENTS:

  • 3+ Years Administration or Customer Service Experience
  • Excellent written and verbal communication skills
  • Valid G Drives Licence
  • Proven Track record to manage multiple personalities and people in a fast paced environment
  • Professional demeanour and ability to remain calm within the storm
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Computer Savvy
  • Strong attention to detail

Responsibilities

LISTING COORDINATION AND CLIENT CARE JOB TASKS AND DUTIES:

  • Coordinate all Components of a Listing from Start to Finish
  • Attend Clients homes for Property Notes, Staging Notes and anything required in person to successfully facilitate the listing
  • Drop off Lockboxes, Riders, Listing Materials etc…
  • Prepare Listing Paperwork and Documentation
  • Draft Listings to be ready to publish to MLS
  • Docusign Documents to clients when needed
  • Communicate Feedback to Clients
  • Manage Broker Bay, TREB, RAHB and other MLS Avenues
  • Communicate with Clients RE Marketing Plans and Open House plans
  • Prepare and help assist agents with Open House preparation
  • Manage Administrative Components of listing from start to finish
  • Facilitate pre and post closing emails to clients
  • Coordinate and Book Agent Showings
  • Organize and send out: thank you cards, seasonal gifts or things of value, end of year calendars etc
  • Drop off Gifts to Clients homes as required
  • Assist with Team Events (Easter in the Park, Client Appreciation, Pumpkin Fest)
  • Order Marketing Materials and Facilitate Mail Outs
  • Print and bind CMAs for team members
  • Package and mail items as required
  • Facilitate Walk ins, answer phones, and emails in a professional and courteous manner
  • Facilitate communication between clients, vendors and team agents
  • Assist team agents in lead generation prep, Geowarehouse etc
  • Work in team Database to ensure client notes and follow up tasks are up to date
  • Assist with training and onboarding for new team members as required
  • All additional task as required

LICENSED ASSISTANT DUTIES, IF CANDIDATE HOLDS A REAL ESTATE LICENCE:

  • Attend Buyer / Seller appointments with Team Lead/ Team members if needed
  • Assist with Open Houses, Showings, Revisits when needed
  • Follow up on all leads to ensure every client is 100% Satisfied
  • Act as a direct communication avenue with Team Leads Clients
  • Write offers, amendments and other paperwork as required
