Description:

We’re hiring a motivated real estate administrative & marketing assistant to join our team. You will play a vital role in ensuring our listings and transactions are run smoothly and efficiently. Your responsibilities will include managing transaction documentation and providing marketing support to promote our listings and brand. This position is ideal for someone with excellent administrative and computer skills who enjoys balancing multiple priorities with precision and professionalism. You’ll also manage the team’s marketing initiatives including promotional graphics & video for listings, social media management, email campaigns, paid ads, newsletter creation, and more. $39,000 - $49,000 yearlyResponsibilities:

  • Keep track of all transaction documents in the client database and complete the necessary paperwork
  • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand
  • Process new listings in MLS (Paragon) and other platforms
  • Coordinate with sign companies for installation and removal.
  • Handle all transaction documentation in CREA WebForms.
  • Coordinate and manage transaction process, ensuring all documentation is accurate and complete before the deadline
  • Monitor important deadlines and notify agents and clients as needed.
  • Prepare and process listing and purchase agreements, amendments, and other real estate forms.
  • Provide general administrative support to the team.
  • Handle office management tasks to support a productive work environment.
  • Create and manage marketing materials, including brochures, feature sheets, and social media content.
  • Update and maintain the company’s website.
  • Design newsletters and email campaigns using tools like Canva, Mailchimp and other CRM platforms.
  • Design engaging marketing materials (graphics video) for listings and other promotions.
  • Manage the team’s social media accounts, creating and scheduling posts to promote listings and brand initiatives.
  • Assist with creating marketing reports and analyzing campaign performance.
  • Monitor and update property statuses across multiple platforms.
  • Write effective marketing copy.
  • Contribute to brainstorming and implementing new marketing strategies to enhance the team’s presence.
  • Update and maintain website content.
  • Manage blog content when required.
  • Familiarity with digital marketing concepts, including SEO, email marketing, and social media advertising strategies an asset but not required.

Qualifications:

  • Exceptional attention to detail and organizational skills

  • Experience with real estate transactions or related field preferred
  • Familiarity with real estate documentation and processes an asset

  • Minimum 2 years of administrative experience
  • Minimum Education Requirement: High school diploma or equivalent (GED); post-secondary education or courses in business administration, marketing, or related field an asset
