Description

Position Overview:
KW ICON is seeking a detail-oriented front desk admin to support our real estate agents and ensure brokerage operation. This dual-function role includes both Agent Services and Compliance Oversight. The successful candidate will be proactive, responsive, and accountable, ensuring all administrative and compliance-related tasks are completed accurately and in time.
· Key Responsibilities:
· Draft and prepare listing agreements, purchase contracts, and transaction documentation
· Send documents for signature through DocuSign
· Upload and organize documents in KW Command
· Accurately complete Trade Records
· Communicate with agents to obtain missing or incomplete information
· Assist in creating marketing materials (flyers/posters) using agent-provided images and content
· Ensure all documentation is completed and submitted within 24 hours of receipt
Brokerage Compliance Oversight
You will work closely with our Market Center Administrator (MCA) to ensure all transactions meet KW ICON and legal compliance standards.
· Review and audit all submitted transaction files for accuracy and compliance
· Monitor and track deposit deadlines; follow up as necessary
· Identify missing or incorrect documentation and communicate required corrections to agents
· Approve files that meet brokerage compliance requirements
· Provide general support to the MCA and TL on compliance-related matters
Brokerage Administrative Support
· Command updates and paperwork
· Set up smart plans and campaigns on requests
Qualifications & Requirements
· Minimum 1–2 years of experience in real estate administration (deal breaker)
· Skilled in basic office software such as Word, Excel, Canva, etc.
· Exceptional attention to detail and time management
· Strong written and verbal communication skills
· Ability to meet quick turnaround time for all assigned tasks
· Self-motivated, reliable, and capable of working independently in a remote setting
· High level of discretion and professionalism in all communications
This role does not involve cold calling, lead generation, or graphic design from scratch. You are here to support the productivity and compliance of our real estate professionals.
Job Types: Full-time, Part-time
Pay: $20.00-$22.00 per hour
