We are currently seeking a Deal Administrator to join our team and help ensure every transaction is handled with accuracy and excellence from start to finish.

Key Responsibilities

  • Review and process all real estate deal files (listings, offers, sales, leases, assignments, etc.) in compliance with RECO, TRREB, CREA, OREA, and FINTRAC requirements.
  • Verify accuracy and completeness of transaction documents before submission.
  • Upload and maintain files in brokerage deal management systems (e.g., LoneWolf, SkySlope, BrokerBay).
  • Coordinate with agents, lawyers, mortgage brokers, and clients to collect required documentation.
  • Handle deposit cheques, trust ledger entries, and prepare transmittals for banking.
  • Maintain brokerage compliance checklists and reporting records.
  • Provide administrative support to agents regarding brokerage policies, forms, and procedures.
  • Assist management with audits, compliance reviews, and monthly reporting.

Qualifications

  • Minimum 1–2 years of real estate administration or conveyancing experience (brokerage or law office).
  • Strong knowledge of RECO compliance, FINTRAC, TRREB/OREA forms, and brokerage procedures.
  • Proficiency in Microsoft Office, Google Workspace, and deal management platforms.
  • Excellent attention to detail and organizational skills.
  • Strong communication skills in English (additional languages such as Mandarin/Cantonese are an asset).
  • Ability to work independently, handle confidential information, and meet deadlines in a fast-paced environment.
