Description

We are searching for a full-time Executive Assistant who is highly organized, proactive, and detail-oriented. This role is based in Denver, CO, with regular presence at the Denver Tech Center Market Center and occasional in-person support at our Windsor/Fort Collins home office during the first 90 days of training.

  • Compensation: $55,000–$65,000 base salary, depending on experience, plus performance-based bonuses and a health insurance stipend.
  • Schedule: Full-time, Monday–Friday, standard business hours (with occasional flexibility for events/closings).
  • Employment Type: W2 employee.
  • Environment: Small team (two agents + Transaction Coordinator). You will be the foundational operations hire and integral to our growth.

Compensation:

  • Manage and optimize CRM: database tagging, drip campaigns, event/marketing lists, and follow-up systems.
  • Coordinate listing preparation and marketing: schedule photography, staging, signage, and social media/MLS postings.
  • Oversee client care touch points alongside the Transaction Coordinator: closing details, reminders, utilities setup, and referral appreciation gifts.
  • Lead marketing initiatives: manage social media, blog posts, SEO efforts, and brand visibility across platforms.
  • Plan and execute client events (2–4 annually), including invites, guest tracking, and vendor coordination.
  • Support daily operations: manage team calendars, email inboxes, and vendor relationships; ensure all deadlines are met.
  • Shadow and document team processes in the first 90 days to update and refine the operations manual.

Qualifications:

  • Strong organizational and project management skills with the ability to anticipate needs.
  • Excellent written and verbal communication; professional, diplomatic, and client-facing.
  • Proficiency with CRM/database systems
  • Marketing and social media management skills (Instagram, Facebook, LinkedIn; TikTok a plus).
  • Tech-savvy, adaptable, and eager to learn new platforms (AI, SEO tools, Canva, G-Suite).
  • High level of integrity and discretion when managing sensitive information and personal accounts.
  • Ability to thrive in a dynamic small business environment: proactive, resourceful, and comfortable wearing many hats.
