POSITION OVERVIEW
The Transaction Coordinator (TC) is responsible for managing and overseeing real estate transactions from contract to closing. This role ensures seamless communication between all parties, including sellers, attorneys, title companies, and other stakeholders, while maintaining accurate documentation and meeting critical deadlines. The TC must be detail oriented, highly organized, and capable of making time-sensitive decisions that impact the company’s financial and legal standing.
- Key Responsibilities
- Serve as the primary liaison between sellers, attorneys, title companies, and thirdparty vendors
- Review and audit purchase agreements to confirm completeness
- Identify and address special circumstances
- Assist with closing logistics
- Communication & Coordination
- Conduct introduction calls with sellers to set expectations
- Maintain ongoing communication with sellers and attorneys
- Ensure all necessary approvals, handoffs, and regulatory requirements are met throughout the process.
- Participate in weekly team meetings
- Document Management & Organization
- Prepare and manage essential transaction documents
- Obtain and verify seller documents
- Maintain an organized digital filing system
- Title, HOA, and Utility Coordination
- Review title commitments and work with attorneys to resolve issues
- Communicate with homeowners’ associations (HOAs) to obtain necessary documents
- Manage utility transfers to prevent service disruptions at closing.
- Financial & Loan Coordination
- Work closely with hard money lenders to facilitate loan applications and approvals
- Provide lenders with required documentation
- Monitor loan progress, address lender requests
- Task & Process Management
- Utilize task management tools (e.g., Asana) to track transaction milestones and deadlines.
- Ensure team members complete assigned tasks and follow up on overdue items.
- Keep all stakeholders informed of transaction progress through organized updates.
- Required Qualifications
- Experience in working in a team environment
- High school diploma or equivalent required; associate’s degree in business, real
estate, logistics, or a related field preferred.
(If no degree must have proven experience in the field equivalent.)
- 13 years of experience in real estate transactions, title processing, or a related administrative role.
- Prior experience working with attorneys, title companies, lenders, logistics companies and real estate professionals is a plus.
- Knowledge, Skills, and Abilities
- Strong understanding of real estate transaction processes, title work, and contract compliance.
- Ability to handle legal and financial documents with accuracy and discretion.
- Excellent organizational skills with the ability to manage multiple transactions simultaneously.
- Experience coordinating logistics related to document management, scheduling, or workflow optimization to ensure smooth transaction process.
- Strong written and verbal communication skills
- Proficiency in digital tools, including Google Drive, task management software
(e.g., Asana), and CRM systems.
- Problemsolving mindset with the ability to adapt to unexpected challenges.
- Ability to work independently while maintaining collaboration with a team.
