JOB SUMMARY:

The Receiving Compliance Coordinator plays a critical role in ensuring the accuracy and quality of incoming materials and maintaining efficient receiving operations. This position is responsible for managing all receiving discrepancies, fostering strong supplier relationships, coordinating inbound logistics, and accurately updating inventory records. The ideal candidate will possess a keen eye for detail, strong communication skills, and a proactive approach to problem-solving.

MINIMUM REQUIRED QUALIFICATIONS:

  • 2-4 years of experience in a receiving, warehouse, or supply chain role, with a strong focus on quality and discrepancy resolution.
  • Experience with ERP/WMS systems (e.g. Oracle) is highly desirable.
  • Proven experience in managing supplier relationships.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to operate a forklift and other material handling equipment (certification preferred or willingness to obtain).
  • Must be able to work in a warehouse environment with exposure to variable temperatures, noise levels, and dust.
  • Flexibility to work various shifts, including potential for overtime or working weekends.

EDUCATION AND/OR CERTIFICATIONS REQUIRED:

  • High School Diploma or equivalent required. Associate or bachelor’s degree in supply chain management, Logistics, or a related field preferred.

Responsibilities
  • Investigate and resolve all receiving discrepancies (e.g., shortages, overages, damages, incorrect items) in a timely and efficient manner.
  • Collaborate with suppliers, purchasing, and internal departments to identify root causes of discrepancies and implement corrective actions.
  • Document all discrepancies thoroughly, including photographic evidence when necessary, and maintain accurate records for analysis and reporting.
  • Process returns to suppliers for non-conforming or incorrect goods.
  • Act as the primary point of contact for all receiving-related communication with suppliers.
  • Build and maintain positive, collaborative relationships with suppliers to ensure smooth and efficient delivery processes.
  • Communicate performance feedback to suppliers regarding delivery accuracy and quality.
  • Participate in supplier performance reviews as needed.
  • Schedule inbound freight deliveries, coordinating with suppliers and carriers to ensure timely and efficient arrival.
  • Manage dock appointments and optimize receiving schedules to minimize congestion and maximize efficiency.
  • Communicate delivery schedules and any potential delays to relevant internal stakeholders.
  • Accurately receive, inspect, and process incoming materials, ensuring proper identification and storage.
  • Update inventory records in the company’s ERP/WMS system with precise quantities and locations upon receipt.
  • Perform regular inventory checks and reconciliation activities to maintain data integrity.
  • Identify opportunities to optimize storage locations and improve inventory accuracy.
  • Conduct visual inspections of incoming materials for quality, damage, and compliance with specifications
  • Communicate any quality concerns or non-conformances to the appropriate departments (e.g., Quality Assurance, Engineering).
  • Assist in the quarantine and disposition of non-conforming materials.
