The Opportunity: Based in our Campbellfield branch, we are currently seeking a Receptionist/Administrator. Reporting to the Branch System Support Coordinator, the Receptionist/Administrator is responsible for answering all incoming calls, managing incoming and outgoing mail, attending to all internal and external customers and general secretarial and clerical duties.

Responsibilities
  • Answer incoming calls in a timely manner and direct to the appropriate department/person.
  • Welcome all visitors to Reception, assist them with signing in and induction and advising the appropriate staff member of their arrival. Maintain online inductions/site.
  • Direct all deliveries as required.
  • Receive daily mail and distribute accordingly. Bank cheques when necessary.
  • Processing of SAP Purchase Requisitions and subcontract purchase orders.
  • GR purchase orders.
  • Reconcile branch cash.
  • Assist with setting up new vendors.
  • Book staff travel when required.
  • Updating EQP care system daily/weekly with servicing details.
  • Ordering of employee PPE, uniforms, first aid supplies, office supplies, monthly catering and merchandise as directed.
  • Replenish the service kitchens with consumables.
  • Maintain Branch Registers for PPE/Uniforms, HSE, Licences, Komserv, SharePoint & Emergency Contacts.
  • Assist with site maintenance repairs and services when required.
  • Book training for staff when required.
  • Replenish the commonly used forms and posters in the branch.
  • Complete service invoicing only when required.
  • Maintain & close contract maintenance, first services and KOMP cases in Dynamics & R&M care when required.
  • Assist with branch warranty jobs when required.
  • Obtain and update certificate of currency documents when required.
  • Carry out general clerical and Adhoc duties to various departments as required.
