We are seeking a professional and friendly Reception lead to join our team. The ideal candidate will be providing exceptional service and support. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

EXPERIENCE

Responsibilities
  • Oversee the daily functioning of the front office, ensuring all areas are appropriately covered and operate efficiently.
  • Prioritise and allocate office tasks daily, ensuring timely completion.
  • Understand and be able to step into all front office duties during staff absence.
  • Ensure knowledge of and adherence to all front-office processes, protocols, and patient workflows.
  • Open and close the building when required, following practice protocols.
  • Monitor and action the generic surgery email inbox and incoming AccuRx messages
  • Act as the first line of support for staff and patient queries, escalating it to the wider management team when necessary.
  • Provide on-the-job support, training, and guidance to Patient Advisors, revising training in line with new procedures or systems.
  • To formulate new starter inductions and assist with the training and induction of new Patient Advisors reviewing progress and adjusting as necessary
  • Manage PSA rota to ensure full coverage.
  • Work with the Operations lead & management team to support the smooth day-to-day running of the office and contribute to team cohesion.
  • Participate in core reception duties including answering phones, booking appointments, and assisting patients at the front desk.
  • Handle initial verbal patient complaints in a calm and professional manner, aiming to resolve where possible and escalate appropriately when needed.
  • Provide high-quality customer service and maintain patient confidentiality at all times.
  • Maintain responsibility for your own administrative duties
  • Monitor / oversee referrals and other urgent tasks as required
  • Support the processing of online patient registrations
  • Train PSA in managing prescriptions, and assist in the absence of Prescribing clerk
