As Office Administrator/ Receptionist (m/f/d), you will be the first point of contact for our company, providing administrative support and collaborating with the Facilities Management (FM) team. Based in our Munich headquarters, you will greet visitors, assist guests, manage front-desk activities, and take part in facility management projects.
To be successful as a receptionist in this role requires a friendly demeanor & customer-oriented mindset, strong multitasking abilities, and the capacity to handle emergencies efficiently while ensuring smooth office operation.

Responsibilities
  • Reception. Oversee all front desk operations, including managing visitor and employee access, greeting guests professionally, coordinating reception activities, handling opening and closing procedures with seamless handovers to security staff, and accompanying visitors, investors, and board members to their contacts
  • Mail & Delivery Handling. Manage all incoming and outgoing mail and packages, maintain documentation for registered and official correspondence, and act as the primary contact for mail-related inquiries, ensuring timely notification and distribution to recipients
  • Communication & Inquiry Handling. Manage incoming phone calls, redirect inquiries, and respond to support requests both in person and through phone or electronic channels.
  • Access & Security. Issue and track key cards for visitors and employees, independently operate access card software, and manage the key management system, including the issuance and return of keys.
  • Emergency & Complaint Management. Coordinate emergency procedures for ambulance, fire alarms, and police inspections, while also managing complaints in collaboration with the Customer Care Center.
  • Facilities & Supplies Coordination. Manage and order office, mailroom, and breakroom supplies, support kitchenette management, route building issues to the appropriate resources, and operate the ticket system as part of the FM team.
  • Tenant & Event Support. Assist the FM team with events, on-site contractors, and communications with subtenants, while liaising with tenants and Flix teams to address operational queries and supporting other FM projects as directed by your Line Manager
