Each interaction with workshop participants, faculty and fellow staff members, creates the Omega experience.  Job Description Reception Shift Coordinator: non-exempt, full-time; on average 35 hours per week. Reports to Assistant Director of Campus Operations. Summary The Reception department is located in the Main Office where team members greet all incoming guests, orient guests to the campus map, provide campus information, and offer customer support. Reception also coordinates with Campus Support, Guest Services, Production, and Faculty Support on a daily basis to ensure guests are taken care of in an efficient and timely fashion. The role of the Reception Shift Coordinator, and its support team, is to ensure all guests begin their stay with Omega on an upbeat and positive level. The Reception Shift Coordinator is responsible for overseeing the Reception department alongside the Campus Manager to ensure a smooth check-in process for program participants by completing daily office duties and executing a high level of customer service. The Reception Shift Coordinator may also assist the Campus Manager in supporting the Guest Services team. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Customer Service - giving Omega campus information, billing and housing information including registrations, transportation, room switches, balances due, donations, etc. * Proficiency in Termserv, Omega's software system. * Assist in training and supervising the Reception staff. * Performance of administrative duties, e.g.: copying, scanning, office organization, kitchen and lobby upkeep. * Handle switchboard on weekends. * Handle all incoming mail (USPS, FedEx & UPS). * Lead transition preparation.  * Lead guest meal-ticket/class-badge run and print. * Responsible for running transportation reports. * Responsible for completing check-out operations. * Other duties as required by the Campus Manager. Supervisory Responsibility  * Ability to lead, motivate and supervise a team effectively. * Proficiency in resolving conflicts and handling difficult situations with professionalism. * Experience in training staff, conducting and providing constructive feedback. * Strong organizational abilities to delegate tasks, and manage workflow. * Commitment to delivering exceptional service and ensuring customer satisfaction. Work Details * This position functions in Omega's administrative offices. * This is a full-time position, 35 hours a week on average. Physical Requirements * Ability to frequently move items that weigh 20 pounds for various needs. * Ability to remain in a stationary position 50% of the time. * Ability to traverse a hilly campus in diverse weather conditions. * Ability to position self to perform diverse job tasks as necessary. * Ability to communicate information and ideas so others will understand.  Must be able to exchange accurate information in these situations. * Ability to observe details at close range Required Experience/Qualities  * Excellent interpersonal and communication skills. * Detail oriented. * Timely, reliable, and service oriented individual. * Team player. * Alignment with Omega's mission, goals and core values.
