Reception Support Assistant
We are looking for a Reception Support Assistant to join our Reception team based at our office in Kingswood, with regular travel between our additional four offices, (Bristol city centre, Bedminster, Bishopston and Thornbury).
The Reception Support Assistant will provide vital assistance to the Facilities Manager by providing flexible reception cover to all five of our busy Bristol-based offices during periods of absence or increased workload.
Our centralised team of Receptionists take all incoming enquiries via our firm switchboard system and distribute these accordingly within the firm whilst supporting the Facilities department and welcoming visitors to our offices. This role promises to be very varied and, at times, can be demanding, so the ability to work under pressure is essential.
The role

As a Reception Support Assistant, you will:

  • Provide reception cover to all five offices as and when required.
  • Greet all visitors, staff and clients on entry to the premises.
  • Ensure that the reception and waiting areas are presentable at all times.
  • Obtain ID from clients where required.
  • Provide telephone cover when on reception or during busy periods.
  • Assist the Facilities Assistant with providing reception cover at our offices at short notice.
  • Provide administrative support at the Training Suite and Warehouse.
  • Retrieve files, Deeds and Wills.
  • Ensure retrieval and destruction lists are kept to a minimum.
  • Ensure the Warehouse and Training Suite is kept safe and organise the training calendar.

In addition to the above, this role holds some banking and postal responsibilities, such as:

  • Ensuring all monies received are recorded in the appropriate entry book and paid promptly.
  • Producing a posting slip for the monies, providing a copy for the file.
  • Being responsible for petty cash and ensuring appropriate records are maintained.
  • Ensuring outgoing cheques are printed on the correct account and a report is sent to our Accounts department following each cheque run.
  • Opening, dating and passing on incoming post.
  • Recording hand deliveries and distributing accordingly.
  • Franking outgoing post and dispatching at the Post Office (unless collected).

Training will be given on all tasks.

The ideal candidate

The ideal candidate will:

  • Have previous experience working in a busy reception role, preferably within a law firm.
  • Be presentable and have a professional approach as a first point of contact for our clients. Have an excellent telephone manner and experience in regular client contact, by phone or in person.
  • Be computer literate with experience of using Word and Outlook.
  • Hold GCSEs in Maths and English – Grade 4 minimum (or equivalent)

An Administration NVQ Level 2 or 3 would also be preferred but is not essential.
This is an ideal opportunity for someone who would like exposure to different areas of law.

Location and working hours

  • Full-time (office hours are 9am – 5.15pm, Monday to Friday).
  • The role is based at our Kingswood office but travel to our other offices will be required (travel expenses will be paid).
