JOB SUMMARY:

The Reception & Support Coordinator serves as the first point of contact for all visitors at the HQ, ensuring a professional and welcoming environment. While maintaining a consistent reception presence, the role also provides administrative, communication, and project support to help for day-to-day office efficiency. They will essentially be the welcoming face of our HQ while keeping the office running smoothly behind the scenes.

QUALIFICATIONS & SKILLS:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

  • Prior experience in reception, administrative support, or customer service is needed.
  • Experience in a professional services, healthcare, or corporate office environment is a plus.

  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with a welcoming and professional demeanor.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning office systems.
  • Strong organizational and multitasking abilities.
  • Ability to handle confidential information with discretion.

  • Reliable, punctual, and consistently professional.
  • Ability to remain composed under pressure and manage competing priorities.
  • Willingness to assist multiple departments with light support tasks when not attending to reception duties.
  • Bilingual skills (Spanish or other languages) a plus.

Responsibilities
  • Greet and assist all visitors, vendors, and clients.
  • Manage reception protocols: sign-in, visitor badges, deliveries.
  • Maintain reception and lobby area to company standards.
  • Provide administrative support (data entry, records updates, meeting prep).
  • Assist HR with onboarding and employee welcome logistics.
  • Monitor supplies and coordinate with Operations for replenishment.
  • Support company events, board visits, and internal meetings.
  • Help with communications such as guest packets and company notices.
  • Perform light data entry and record updates.
  • Assist in preparing visitor packets, onboarding kits, or meeting materials.
  • Schedule and manage conference room bookings.
  • Monitor office supplies at HQ and coordinate replenishment with Operations.
  • Answer and direct internal calls or inquiries as needed.
  • Monitor general company in boxes and forward appropriately.
  • Update and maintain employee/department extension lists.
  • Assist HR with onboarding logistics for new hires (welcome kits, first-day orientation setup).
  • Support internal events and meetings (board visits, executive offsites, town halls).
  • Help prepare materials, signage, or hospitality for visitors and special events.
  • Act as a “culture ambassador” by greeting new hires and guests.
