Role Summary and Impact The Receptionist is responsible for creating a positive first impression for all visitors and staff by providing professional front-desk and administrative support. This role ensures smooth day-to-day office operations through effective coordination with internal teams, suppliers, and building management. In this role, your goals will be: 1. Front Desk Operations Welcome and assist all staff, visitors, and clients in a professional and courteous manner. Manage incoming and outgoing telephone calls efficiently and direct inquiries to the appropriate departments. Receive, record, and distribute all incoming documents, parcels, and deliveries. Coordinate with the IT department to assist staff and visitors with any immediate technical issues. 2. Procurement and Support Deliver Purchase Orders to suppliers as required. Coordinate orders for wreaths or floral arrangements for staff or clients, as necessary. 3. Meeting Room Coordination Ensure meeting rooms are well-prepared with all required stationery, equipment, and materials. Arrange snacks, beverages, and other amenities for meetings. Support staff workshops and office activities by preparing necessary materials and coordinating logistics for both in-office and off-site events. 4. Office Supplies and Stationery Management Prepare and distribute stationery kits for new employees. Monitor stationery inventory and coordinate replenishments as needed. 5. Staff Name Cards Coordinate the preparation and issuance of name cards for staff in a timely manner. 6. Administrative Support Provide general administrative assistance and support for various office functions as assigned by management. 7. Building and Facility Coordination Contact with the building department when have any problem occurs such as asset was broken, toilet got problem, the air conditioner is too hot or cold, the water supply got problem, etc. and then inform all Admin team and Staff at that floor if necessary. Take care of all the cleanliness in the office, the restroom area. Skills and Experience What you will need: Bachelor’s degree or equivalent experience in Administration, Business, or a related field. More than 2 years of experience. Strong interpersonal and communication skills. Service-minded, proactive, and detail-oriented. Proficient in Microsoft Office (Word, Excel, Outlook). Fair command of English (spoken and written).
