The Administrative Assistant will play a central role in supporting day-to-day operations. This position ensures smooth workflow across the office by handling administrative tasks, supporting management, and maintaining professional standards in all internal and external communications. The role requires precision, discretion, and a proactive approach to problem-solving.

Key Responsibilities

  • Serve as the first point of contact for clients, visitors, and external partners.
  • Manage correspondence, scheduling, and document control for management.
  • Prepare and maintain accurate records, reports, and filing systems (digital and physical).
  • Support HR and compliance functions, including maintaining employee files and assisting with onboarding documentation.
  • Coordinate with agents and management to ensure timely Trakheesi permit applications and renewals.
  • Assist in preparing listing documentation, marketing materials, and portal uploads.
  • Handle incoming calls, emails, and inquiries with professionalism and efficiency.
  • Liaise with vendors, service providers, and developers as required.
  • Monitor office supplies and manage procurement within approved budgets.
  • Support bookkeeping and invoice tracking in coordination with the accounts team.
  • Provide general administrative support to senior management and other departments as required.

Requirements

  • Minimum 1years’ experience in an administrative or office support role, ideally within real estate.
  • Strong written and verbal communication skills in English; additional languages (Arabic, Russian, Mandarin) beneficial but not required.
  • High level of organisation, accuracy, and attention to detail.
  • Ability to prioritise tasks and work effectively under pressure.
  • Proficiency with MS Office Suite, CRM platforms, and online listing portals (propertyfinder, Bayut / Dubizzle)

Salary based on experience, should you have less experience than required applications may still be considered but salary will be adjusted accordingly.
Start date will be within October 2025 with some flexibility.
