Job Description: As a Reception/Administrative Assistant at Nairn Community and Arts Centre, you will play a crucial role in ensuring the smooth operation of our centre. You will be the first point of contact for visitors and will provide essential administrative support to our team.

QUALIFICATIONS:

  • Experience as an administrative assistant, office admin assistant, or relevant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Xero is used for invoicing – proficiency in this would be a preferred but not essential.
  • Strong organisational skills with the ability to multitask and prioritise work.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Friendly and professional demeanour.
  • Experience in a community environment is a plus, but not essential.
    Job Type: Part-time
    Pay: £13,824.00 per year
    Expected hours: 21 per week

Responsibilities

RECEPTION DUTIES:

  • Greet and assist visitors, ensuring a welcoming and friendly environment.
  • Answer phone calls, direct inquiries, and manage incoming and outgoing mail.
  • Schedule and manage bookings for rooms, events, and activities.
  • Administrative Support:
  • Maintain and update electronic and paper records, ensuring accuracy and confidentiality.
  • Assist with the preparation of reports, events posters, presentations, and correspondence.
  • Manage office supplies and place orders as necessary.
  • Financial Administration:
  • Assist with invoicing, expense tracking, and budget management.
  • Maintain financial records using Excel spreadsheets and other software.
  • Event Admin Coordination:
  • Support the administrative planning of events, workshops, and community activities.
  • Manage event & workshop posters/leaflets.
  • Coordinate with vendors, participants, and staff to ensure successful events.
  • Data Management:
  • Maintain and update databases and contact lists.
  • Generate reports and analyse data using Excel.
  • General Office Duties:
  • Perform other administrative tasks as required to support the team and centre operations.
