Operate the office phone system, including answering and directing incoming calls, placing outbound calls as needed, and facilitating internal communication through interoffice routing
Greet visitors, provide sign in guidance so appropriate parties are notified. Ensure visitors are identified and escorted to their destination within the office while maintaining front desk security and confidentiality
Update and maintain internal phone list
Distribute incoming mail and coordinate the shipping of outgoing packages as needed
Send internal email communications for events such as social activities, birth announcements, retirements, and other staff updates
Complete various administrative tasks, such as daily reports and entering data of training records
Maintain and update records for keycard or fob access to ensure entry to premises such as entrances, gym, and parking
Manage boardroom bookings, including coordinating catering and setup requirements when needed
Create and process purchase orders for various supplies
Support the upkeep of the office aesthetics, including running the dishwasher, restocking coffee machines and refill of soap and paper dispensers, etc
Assist with other general office duties as required
