JOB TITLE: ADMINISTRATIVE ASSISTANT / RECEPTIONIST

Location: Acheson, Alberta (Head Office)
We are currently seeking a motivated, professional, and detail-oriented Administrative Assistant/Receptionist to join our Head Office team in Acheson, AB. This key position combines front-line customer service with essential administrative support. The ideal candidate is proactive, organized, and able to work independently in a fast-paced environment. Strong time management, sound judgment, and the ability to anticipate needs and take initiative are crucial to ensuring smooth day-to-day operations.
As the first point of contact for visitors and callers, you will represent Westvac with professionalism and courtesy. Alongside reception duties, you’ll support multiple departments with administrative tasks, help streamline office communication, and contribute to a well-organized and efficient workplace—creating a positive experience for both our internal team and valued customers.

QUALIFICATIONS:

  • Minimum 5 years of experience in an administrative or receptionist role
  • Excellent verbal and written communication skills
  • Strong organizational skills and the ability to multitask effectively
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with other software platforms is an asset
  • Professional demeanor and a strong customer service mindset
  • Demonstrated ability to work independently and collaboratively
  • High attention to detail and accuracy
  • Reliable, punctual, and trustworthy
  • Strong problem-solving skills and initiative
  • Post-secondary education in office administration or a related field is an asset

PHYSICAL REQUIREMENTS:

  • Ability to lift and move items up to 50 lbs.
  • Inventory handling, unpacking shipments, and organizing storage areas

Responsibilities
  • Handle phone systems efficiently, directing calls and taking messages as needed
  • Manage front desk operations, greet visitors, and answer general inquiries
  • Maintain electronic and hard copy filing systems
  • Facilitate preparation and submission of documentation required for trade show attendance
  • Submit invoices using various invoice submission software programs as required by our customers
  • Order and manage inventory of office supplies and consumables for all branches
  • Track and replenish inventory of product brochures, promotional materials, and staff apparel
  • Coordinate with the Marketing team to support communications and projects
  • Assist in preparing reports, presentations, and professional correspondence
  • Perform additional administrative tasks as assigned
  • Ensure the reception area remains clean, welcoming, and organized at all times
