SUMMARY

We are seeking a detail-oriented Receptionist/Administrative Assistant to join our team. The successful candidate will be responsible for managing the Front Reception Area, providing excellent customer service. The work hours are from 8:00 am to 4:30 pm with a half hour lunch break.

REQUIREMENTS

  • Minimum 1-2 years experience in administrative support work. Previous experience in the Surveying or Engineering industry would be an Asset.
  • Strong organization skills with the ability to Ability to prioritize and perform multiple work assignments simultaneously
  • Working knowledge of Accounting and Invoicing Fundamentals
  • Proficiency in using computerized systems for managing appointments and records
  • Excellent proof reading skills to ensure accuracy in written communications
  • Familiarity with general clerical tasks and office equipment operation
  • Exceptional phone etiquette and communication skills

Responsibilities
  • Greet and welcome visitors and clients in a professional and friendly manner
  • Maintain a clean and organized reception area
  • Answer and direct phone calls, general emails, survey record requests to the appropriate staff member or Manager
  • Handle incoming and outgoing mail and courier packages
  • Manage office and field supplies, track inventory and place orders for restocking as needed
  • Complete job setup tasks
  • Assist with Invoice preparation, distribution and filing
  • Client follow up on overdue accounts
  • Perform other administrative duties such as data entry, copying, collating, filing, document retrieval, scheduling coordination of meetings, ordering of lunches for meetings, mailings, information gathering, word processing, transcription and document binding, document scanning
