Secretarial Services Answer phones and route calls like a pro. Greet clients, visitors, and building patrons with warmth. Operate office equipment (copiers, faxes, postage meters, shredders, etc.). Maintain room and vehicle schedules, keys, and logs. Update the agency database and create reports. Keep the workplace neat and organized. Help with ordering and storing office supplies. Open and distribute daily mail. Assist with securing active and closed case files. Help manage door security and telecom systems. Build positive relationships with staff, providers, and community members. 2.) Administrative & Clerical Support Create signage and edit documents as needed. File paperwork in an organized manner. Build and maintain spreadsheets and organizational tools. Research products and services. Make service calls as needed. Attend and summarize meetings/trainings. 3.) Operational Support Run errands (deliveries, pickups, etc.). Keep storage and common areas tidy. Move boxes, office supplies, and equipment as needed (up to 50 lbs.). Pitch in with other operational staff when needed. And any other duties that help the team thrive! Requirements What We’d Love to See in You High school diploma required (secretarial/administrative program or equivalent preferred). At least 3 years of receptionist, secretarial, or operational support experience. Clear communication skills — both spoken and written. Ability to work well in a cooperative setting with a diverse group. Proficiency in Microsoft Office (Word, Excel, Access, PowerPoint). Quick learner with technology (security systems, telecom systems, databases). Professionalism: punctual, tactful, detail-oriented, and a self-starter with good judgment. Sensitivity and responsiveness to cultural differences in the community. Ability to maintain confidentiality at all times. Must meet regulatory requirements for Child Welfare Agencies (background check, Illinois CANTS, Iowa Registry clearance, and DCFS driver certification if applicable).
