Under the direction of the Vice President of Sales, this position sits in the reception area away from the sales team and answers incoming calls and routes them to the appropriate person as well as greets all customers and vendors. Additionally, this position provides support to the executive sales team as well as the administrative sales support team. This position serves as the first point of contact for our customers, vendors, and various other consultants, therefore superior communication and interpersonal skills are required. Summary: The primary responsibility of the receptionist is to answer and direct all incoming phone calls to the appropriate personnel. General clerical duties such as receiving and preparing FedEx packages, sorting and distributing mail and assisting others will be included. This position works closely with internal associates (Sales, Management, Engineering, Shipping, Operations and Accounting) as well as external sales representatives to ensure there is a smooth flow of communication and activity. The ability to read construction plans is a plus and the ability to multi-task is a must. Essential Duties and Responsibilities * Answer all incoming phone calls & direct them to the appropriate person. * Collaborate with Sales Administration team on all aspects of identifying and vetting potential projects. * Process inbound and outbound FedEx shipments. * Open and distribute mail daily; process outgoing mail. * Maintain office supplies including but not limited to ordering and stocking the supplies. * Assist with bid invitations/bids. Obtain & review copy of construction plans, specs, addendums, etc. * Contact bidders list and plan holders list to confirm if they are bidding. * Assist any member of the USA Shade team as needed. * General administrative duties. Qualifications * High school diploma or GED. * At least two years of administration experience. * Proficiency in MS Office applications (MS Word, Outlook, Excel, etc.), Adobe, and CRM * Must have the demonstrated ability to work in a fast-paced, high energy, team environment. * Ability to handle multiple priorities and last minute requests. * Must be accurate and efficient. * Maintains excellent interpersonal and communication skills including problem solving. * Ability to learn quickly and become proficient in products and standard operating procedures. * Professional personal presentation and demeanor. * Enthusiastic and flexible.

Responsibilities
