Description

Phoenix Restorations is currently hiring a Professional Receptionist. The ideal candidate loves what they do, and it shows every time they answer the switchboard! They have a positive attitude at all times and are ready to assist the Team with any projects that need a helping hand. Reporting to the Office Manager, this position is primarily responsible for handling all incoming calls, screening calls to obtain additional information, providing impeccable telephone service to customers, and other related work as assigned.

Duties Include:

  • Answer multi-line telephone and direct incoming calls to the appropriate team member, including written and email messages
  • Maintain and regularly update front desk procedure manual
  • Downloading/uploading and organizing of claim related photographs
  • Assist with office supplies and uniforms
  • Weekly Tracking of Inbound Calls
  • Train staff for reception coverage
  • Park fleet vehicles through an online paid parking account
  • Assist with other duties as required

KNOWLEDGE, SKILLS, AND ABILITIES

  • A minimum of (2) years previous experience as a Receptionist/Administrative Assistant
  • Ability to operate a 3-8 line telephone switchboard to answer, screen, and forward calls efficiently while providing accurate information to a staff member or caller
  • Excellent English skills both verbal and written
  • Knowledge of computers and relevant software applications, including intermediate skills in Windows Explorer, Word, Excel, Outlook, and Internet
  • Perform administrative support tasks such as proofreading, transcribing handwritten information, invoicing, spreadsheets, and other documents
  • Punctual, reliable and trustworthy with a top-notch work ethic
  • Ability to deal with challenging situations and callers with integrity, empathy & sincerity with the ability to proactively and independently solve problems and make decisions using common sense and good judgment
