About the Role: We are seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive support to the Senior Manager. This role involves managing day-to-day administrative tasks, maintaining organized records, and ensuring the smooth operation of the reception desk. The ideal candidate will possess excellent organizational and communication skills and be comfortable working in a dynamic environment.

QUALIFICATIONS:

  • Experience working in heavy industry, truck repair shops or manufacturing is a plus.
  • High school diploma or equivalent.
  • Proven experience in an administrative or assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Professional demeanor with a customer service-oriented approach.
  • Ability to maintain confidentiality and handle sensitive information.
Responsibilities
  • Provide administrative support to the Division Manager, including calendar management and meeting coordination.
  • Manage and organize files, documents, and records in both physical and digital formats.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Processing some account payables and receivables.
  • Maintain the reception area, greet visitors, and provide assistance as needed.
  • Schedule and coordinate meetings, conferences, and events.
  • Prepare reports, presentations, and other documents as requested.
  • Ensure the timely procurement of office supplies and maintain inventory levels.
  • Collaborate with internal teams to facilitate communication and operational efficiency.
  • Perform other general office duties and administrative tasks as assigned.
