Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. This position plays a crucial role in providing administrative support and ensuring smooth operations within our office. The ideal candidate will have excellent communication skills, strong organizational abilities, and a customer service-oriented mindset.
Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer phone calls, take messages, and direct calls to the appropriate person
- Schedule appointments and maintain calendars for multiple staff members
- Assist with administrative tasks such as filing, photocopying, and data entry
- Coordinate meetings, conferences, and travel arrangements
- Manage incoming and outgoing mail and packages
- Perform basic bookkeeping tasks, such as invoicing and expense tracking
- Assist with project coordination and follow-up on action items
- Proofread documents for accuracy and completeness
- Bank/Post Office 1-2x per week
Requirements:
- Previous experience as a receptionist or administrative assistant is required
- Strong organizational skills with the ability to multitask effectively
- Excellent verbal and written communication skills
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Attention to detail and accuracy in all work tasks
- Ability to maintain confidentiality of sensitive information
- Knowledge of office management procedures and basic accounting principles is a plus
