Job Description Tomball Controls is seeking a highly organized, professional, and proactive Receptionist/Administrative Assistant to support both front-office operations and broader administrative functions within an industrial facility. This is a fast-paced, production-focused environment where clear communication, attention to detail, and reliability are essential. This position is ideal for someone who enjoys creating structure, supporting day-to-day operations, and contributing within a manufacturing setting. As the company continues to grow, this role is expected to evolve as well. We are looking for someone who is adaptable, resourceful, and comfortable taking on new responsibilities as business needs change. Requirements Key Responsibilities: Reception & Office Operations Serve as the first point of contact for visitors, customers, vendors, and delivery personnel Answer, screen, and route incoming phone calls, emails, and general inquiries Maintain a professional, organized, and welcoming reception/front-office area Receive and distribute mail, packages, and deliveries Manage office supply inventory and coordinate reordering as needed Assist with daily office logistics, including lunch coordination as requested Administrative & Executive Support Provide administrative support to the Executive Assistant and leadership team Assist with scheduling, calendar coordination, and meeting logistics Support travel arrangements, including flights, hotels, and transportation Prepare documents, correspondence, and internal communications Assist in planning internal meetings, customer visits, and company events Perform filing, data entry, and recordkeeping as needed - Communicate effectively with internal teams to help ensure smooth daily operations - Handle sensitive company, personnel, and customer information with discretion - Take on additional responsibilities as business needs evolve Minimum Requirements: High School Diploma or GED required 2+ years of experience in a receptionist, administrative assistant, or office coordinator role Experience in a manufacturing or industrial environment preferred Strong verbal and written communication skills Excellent organizational skills and strong attention to detail Professional demeanor and customer-focused approach Proactive, dependable, and comfortable taking initiative Ability to manage multiple priorities in a fast-paced environment High level of discretion, professionalism, and trustworthiness Technical Requirements: Proficiency with Microsoft 365, including Outlook, Word, Excel, and Teams Comfortable learning new systems and internal tools Familiarity with collaboration or task management platforms is a plus Exposure to modern productivity or AI tools is a plus, but not required Bilingual (English/Spanish) a plus. Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Regularly required to walk through production facilities Must be able to access and navigate each department at the organization’s facilities.
