POSITION OVERVIEW:

We are looking for a dependable and detail-oriented Receptionist / Administrative Secretary / QuickBooks Online Data Entry Clerk to join our team full-time. This role is essential in ensuring smooth day-to-day operations by managing front-desk duties, supporting administrative tasks, and maintaining accurate financial records using QuickBooks Online.
The ideal candidate is highly organized, communicates well, has strong computer skills, and thrives in a fast-paced environment.

QUALIFICATIONS:

  • High school diploma or equivalent (Associate’s degree preferred)
  • Minimum 1 year of administrative experience
  • Proficiency in QuickBooks Online (required)
  • Solid understanding of basic bookkeeping principles
  • Strong computer skills (Microsoft Office, Google Workspace, email)
  • Excellent communication and interpersonal skills
  • Ability to multitask, prioritize, and work independently
  • Professional, punctual, and reliable
Responsibilities

KEY RESPONSIBILITIES:RECEPTIONIST DUTIES

  • Greet visitors and clients in a professional and friendly manner
  • Answer incoming calls and emails and direct them appropriately
  • Handle general inquiries and take accurate messages and emails.
  • Manage office calendar and assist with appointment scheduling
  • Receive and distribute mail and deliveries

ADMINISTRATIVE SECRETARY DUTIES

  • Provide administrative support to management and staff
  • Prepare and format documents, emails, and reports
  • Maintain organized digital and physical filing systems
  • Order and manage office supplies
  • Assist with internal communication and scheduling
  • Ensure confidentiality of sensitive information

QUICKBOOKS ONLINE DATA ENTRY DUTIES

  • Enter and maintain accurate financial transactions in QuickBooks Online
  • Generate and send customer invoices
  • Record vendor bills and payments
  • Reconcile bank and credit card transactions
  • Maintain up-to-date customer and vendor records
  • Assist with basic financial reporting and month-end tasks
