Description The Receptionist answers the phone, greets office visitors, and serves as the first point of contact for customers. This position will direct phone calls to the appropriate individual and document complaints. This position is also responsible for distributing the mail, processing cash, checks, and credit card payments as well as maintaining accurate files for interments as well as pre-need sales. The incumbent must know the process of how the office staff, counselors, and grounds crew interact to accomplish cemetery objectives. This position supports the three Kansas City area cemeteries regarding the first objective and all four Diocesan cemeteries regarding the second objective. Essential Duties: Handle phone calls and visitors in a welcoming manner. Answer phone call inquiries, complaints, or direct calls to appropriate personnel. Assist visitors by either answering their questions or directing them to the appropriate individual. Record complaints and coordinate resolution. Coordinate arrangements for interment procedures. Receives and documents first call information, research service requirements, complete information package, and alert staff as to details required to prepare the burial space and service. Complete monthly reports on interments by cemetery by type of arrangement. Maintain accurate files by the cemetery of the deceased person's location, family and services provided. Process customer payments timely. Match invoices to customer deposits and electronically complete deposits. Prepare deposit slips for the deposit of cash and checks into Cemetery's bank account. Maintain a cash log. Coordinate the winter decoration process. Maintain records of deceased and sent order information to affected families. Track sales by specific location and provide detail to the grounds crew for placement. Receive payments and complete invoices. Assist in maintaining the office. Order office supplies as needed. Type correspondence. Maintain files. Requirements Required: Previous Receptionist/Secretary experience or prior customer service experience Very good interpersonal skills and ability needed to work with families and co-workers. Good working knowledge of Microsoft suite of products Work with a sense of urgency to ensure burial service information is gathered and provided to all internal and external contacts Ability to multi-task Availability to work one 4 hours shift every third Saturday. Must work Memorial holiday weekend.
